Share a Mailbox Folder or Sub-Folder

Description

Outlook allows you to share any Mailbox folder or sub-folder with other Outlook users on your network.  You must give the other users permission to view your folders.  Permissions are set up by individual folders.  Therefore if you want to give a user permission to several folders then you must set the permission level for each folder.  After you have given permission to your folders the other users can then open the folders from their Outlook folder list.

The steps to sharing a Mailbox folder or sub-folder are as follows:

Set Permissions for the Mailbox Folder (Top Level Folder)

Follow these steps if you are sharing a folder that you have created.  Skip these steps if you are only sharing a folder that comes with Outlook.

  • Single click to select the Mailbox folder in the Folder List

    • This is the top level folder in your list.  It may be labeled Outlook Today (Mailbox)

    • If the Folder List is not displayed, then click the View menu and the Folder List command

  • Position your mouse over the selected Mailbox folder and click your right mouse button

  • From the shortcut menu, select the Properties command

  • Click the Permissions tab

  • click the Add button

  • Select the name of the person you are giving permission to view your folder

  • Click the Add button to add the name to the list

  • Click the OK button to close the Add Names dialog box

  • Single click to select a name from the list of users

  • Click the down arrow next to the Roles list

    • Select the permission level you want to give the selected person

  • Click the OK button

Set Permissions for a Mailbox Sub-Folder (Standard or User Made)

Follow these steps for every Mailbox sub-folder that you wish to share with other Outlook users on your network.

  • Single click to select the Mailbox sub-folder in the Folder List

  • Position your mouse over the selected Mailbox sub-folder and click your right mouse button

  • From the shortcut menu, select the Properties command

  • Click the Permissions tab

  • click the Add button

  • Select the name of the person you are giving permission to view your folder

  • Click the Add button to add the name to the list

  • Click the OK button to close the Add Names dialog box

  • Single click to select a name from the list of users

  • Click the down arrow next to the Roles list

  • Click the OK button

Display the Shared Folders in the Other User's Folder List

The following steps will be used by the other users that you gave permissions to share your Outlook folders.

  • Click on the Tools menu

  • Select the Services command

  • Single click to select Microsoft Exchange Server from the list

  • Click the Properties button

  • Click the Advanced tab

  • Click the Add button

  • Type the last name then a comma and then the first name of the person who has given you permission to a folder in their mailbox

  • Click the OK button

  • Click the OK button two more times to exit the Services dialog boxes

    • A new Mailbox folder will be added to your folder list

    • Click the + sign next to the Mailbox folder to view the subfolders
